These Terms & Conditions apply to all travel programs organized by Sukajalanjalan, including trekking, peak climbing, overland tours, and helicopter experiences.
By confirming a booking and making a payment, the Participant acknowledges that they have read, understood, and agreed to all terms stated below.
Agreement & Scope
By making the Down Payment (DP), the Participant confirms:
- Acceptance of the itinerary, including inclusions and exclusions
- Understanding of the nature of travel in the Himalayan region
- Agreement to all Terms & Conditions stated in this document
Services listed under inclusions are the responsibility of the Company.
All excluded items and personal expenses remain the responsibility of the Participant.
Payment Policy
- All payments (Down Payment and remaining balance) are strictly non-refundable
- The remaining balance must be settled upon arrival in Kathmandu
Accepted payment methods:
- USD Cash
- Debit/Credit Card (subject to bank charges)
Payments made to third-party service providers (flights, permits, hotels, helicopter operators, and government fees) are non-refundable under all circumstances.
Cancellation & Rescheduling
- All payments are non-refundable
- A one-time reschedule may be allowed if requested at least 45 days prior to arrival
- Rescheduling is subject to availability and updated pricing
No refunds will be granted for:
- Personal cancellations
- No-shows or late arrivals
- Weather conditions
- Flight disruptions
- Operational or logistical changes
Nature of Travel & Risk Acknowledgment
Travel in Nepal, Tibet, and Bhutan involves inherent risks, including:
- High-altitude conditions
- Weather variability
- Flight delays and cancellations
- Physical and environmental challenges
By booking the trip, the Participant acknowledges and accepts these risks.
Trekking & Climbing Conditions
Trekking
- Walking duration: approximately 5–7 hours per day
- Terrain: uneven trails with uphill and downhill sections
- Accommodation: basic teahouse facilities in mountain regions
Climbing & Expedition
- Summit success is not guaranteed
- Guide decisions are final and must be respected at all times
- Early descent due to health or safety reasons is non-refundable
- Itinerary may be modified for acclimatization and safety
Weather & Domestic Flight Policy
Mountain travel in Nepal is highly dependent on weather conditions, particularly for domestic flights such as:
- Kathmandu / Ramechhap – Lukla (Everest region)
- Kathmandu – Pokhara
- Jomsom – Pokhara
- Other Cities, mountain and remote area flights
Flights may be delayed or cancelled at short notice due to weather, visibility, or airport conditions.
In the event of flight delays or cancellations:
- Participants may be required to return to the hotel and attempt travel again on the following day
- Additional accommodation, meals, and transportation costs resulting from such delays shall be fully borne by the Participant
- This includes repeated airport transfers (hotel–airport–hotel) due to multiple flight attempts
No refunds will be provided for:
- Unused services
- Flight delays or cancellations
- Changes caused by weather conditions
The Company will assist in managing alternative arrangements; however, all additional costs remain the responsibility of the Participant.
Helicopter & Aviation Policy
Helicopter operations depend on:
- Weather conditions
- Visibility and wind
- Aviation authority regulations
- Weight limitations
The pilot has full authority to:
- Delay or cancel flights
- Adjust routes or landing points
- Modify landing duration
- Conduct split flights for safety reasons
No refunds will be issued for aviation disruptions.
Rescheduling is subject to availability.
High-Altitude Risk
Activities above 3,000–5,500 meters involve risks such as:
- Acute Mountain Sickness (AMS)
- Reduced oxygen levels
- Physical fatigue
Participants are responsible for monitoring their health and informing guides of any symptoms.
The Company reserves the right to modify or terminate the program for safety reasons.
Itinerary Changes, Early Return, Weather Conditions & Unused Services
The itinerary is designed and priced as a complete travel package.
If a Participant:
- Returns earlier than scheduled
- Shortens or modifies the itinerary
- Discontinues the trip for personal reasons
- Returns earlier due to weather conditions or safety considerations
- Is unable to continue due to fatigue, altitude, or personal condition
the following conditions apply:
- No refunds will be provided for any unused services, including accommodation, meals, transportation, guide, and porter services
- All unused services are non-refundable, non-reducible, and non-compensable
- Any additional costs resulting from such changes shall be fully borne by the Participant
This includes, but is not limited to:
- Early return from trekking routes (Everest, Annapurna, or other regions)
- Early return due to weather conditions or flight disruptions
- Early descent during trekking or climbing
If a Participant returns to Kathmandu earlier than scheduled:
- Accommodation will only be provided based on the original itinerary (if applicable)
- Any additional nights, meals, transportation, or personal arrangements in Kathmandu are the responsibility of the Participant
- Meals outside the original itinerary are not included and shall be borne by the Participant
Climbing & Summit Attempt Policy
- Reaching the summit is not guaranteed
- Failure to reach the summit due to weather conditions, route safety, or personal physical condition does not qualify for any refund
- Early descent or expedition termination for safety reasons is non-refundable
The Company and expedition leader reserve full authority to make decisions based on safety and operational conditions.
The Company remains responsible only for the services outlined in the original confirmed itinerary.
Additional Costs & Delays
In the event of delays caused by:
- Weather conditions
- Flight disruptions
- Government regulations
- Personal requests
Additional costs may include:
- Extra accommodation
- Meals
- Transportation
- Guide and porter services
All additional costs are the responsibility of the Participant.
Baggage Policy
For domestic mountain flights:
- 10 kg check-in baggage
- 3 kg hand carry
Excess baggage is subject to airline regulations and additional charges.
Travel Insurance (Mandatory)
All Participants must obtain travel insurance covering:
- High-altitude trekking and climbing
- Emergency helicopter evacuation
- Medical expenses
- Travel delays and disruptions
Failure to obtain insurance is the Participant’s responsibility.
Force Majeure
Force majeure includes:
- Natural disasters
- Extreme weather
- Political unrest
- Government regulations
- Flight disruptions
In such cases:
- The itinerary may be adjusted
- Additional costs shall be borne by the Participant
- No refunds will be issued
Liability & Responsibility
Sukajalanjalan acts as a travel organizer.
We are not liable for:
- Airline or aviation decisions
- Weather-related disruptions
- Third-party services
- Loss or damage of personal belongings
- Maximum liability is limited to the total amount paid.
Operational Network
Sukajalanjalan operates with a trusted network across the Himalayan region.
- Nepal: direct operational management
- Tibet & Bhutan: officially licensed local partners
This ensures compliance, safety, and consistent service quality.
Itinerary Flexibility & Operational Changes
The Company reserves the right to modify the itinerary at any time in the interest of safety, weather conditions, or operational requirements.
This may include:
- Route changes
- Schedule adjustments
- Accommodation changes
- Transportation modifications
Such changes do not constitute grounds for refunds.
Guide & Leader Authority
During trekking, climbing, or expedition activities, the decision of the guide or expedition leader is final.
Participants must follow all instructions related to:
- Safety
- Health
- Route adjustments
Failure to comply may result in removal from the program without refund.
Participant Responsibility
Participants are responsible for:
- Providing accurate personal information
- Following the agreed itinerary
- Respecting local culture and environment
- Maintaining appropriate behavior
The Company reserves the right to refuse or remove any Participant whose behavior affects safety or group experience.
Health & Medical Declaration
Participants must ensure they are physically fit for the trip.
Participants are responsible for:
- Declaring any medical conditions
- Consulting a doctor if necessary
- Carrying personal medication
The Company is not responsible for medical issues arising during the trip.
Permits & Documentation
The Company will arrange required permits for the trip.
Participants are responsible for:
- Valid passport (minimum 6 months validity)
- Visa requirements
- Personal travel documentation
Failure to meet requirements is the Participant’s responsibility.
Environmental & Cultural Responsibility
Participants are expected to:
- Respect local culture and traditions
- Follow environmental guidelines
- Protect natural surroundings
Responsible travel is essential in the Himalayan region.
Final Acknowledgment
By confirming a booking, the Participant agrees to all Terms & Conditions stated above.
These terms are designed to:
- Ensure safety
- Maintain transparency
- Prevent misunderstandings
- Protect both Participant and Operator
